About the Role
This is not a remote or virtual assistant role. We need someone who is fully engaged with our team, understands the Arizona real estate market, and is committed to providing a level of service that matches the pace and expectations of high-performing real estate professionals. This role requires strong decision-making skills, quick problem-solving, and the ability to stay composed under pressure while managing multiple complex transactions simultaneously.
As a transaction coordinator, you will be the central point of coordination for some of our most productive agents and their clients, ensuring transactions stay on track and exceed expectations. The ideal candidate is highly proactive, capable of anticipating challenges before they arise, and skilled at keeping everything moving efficiently without missing details.

Responsibilities:
Key Responsibilities'
Transaction Oversight and Coordination • Manage a high volume of real estate transactions from contract to close, ensuring all steps are completed accurately and on time.
• Work closely with agents, clients, title companies, escrow officers, and lenders to facilitate seamless closings.
• Ensure all required documents, signatures, and compliance items are completed properly and on schedule.
• Track key deadlines and proactively follow up with all parties to prevent delays.
Communication and Relationship Management • Serve as a trusted and reliable resource for high-producing agents and their clients throughout the transaction process.
• Be responsive and accessible, providing timely updates and handling questions with confidence and professionalism.
• Adapt to the unique working styles and expectations of high-performance agents, ensuring seamless collaboration.
• Build strong relationships with title companies, escrow officers, lenders, and other key partners to facilitate smooth transactions.
Problem-Solving and Proactive Support • Stay ahead of potential challenges, troubleshooting issues before they become problems.
• Work independently to resolve roadblocks, using critical thinking and sound judgment to navigate complex situations.
• Take full ownership of the transaction process, ensuring no detail is overlooked and all moving parts are handled efficiently.
Compliance and Documentation • Maintain accurate, organized transaction files that meet Arizona real estate compliance standards.
• Ensure contracts, addendums, disclosures, and brokerage requirements are completed correctly and promptly.
• Track earnest money deposits, commission disbursements, and closing details to ensure all financial aspects are handled properly.
Team Collaboration and Efficiency • Work as a true partner to our top agents, supporting their business at the highest level.
• Help refine and improve systems and processes to enhance efficiency and transaction success.
• Provide strategic insights and solutions to streamline transactions and optimize workflow for maximum productivity.
Qualifications:
Qualifications and Requirements Must-Haves • Active Arizona real estate license.
• Minimum 1-2 years of transaction coordination experience in Arizona real estate; 150+ escrow/listing files processed.
• Local to Arizona—this is an in-person or hybrid role, not a remote position.
• Experience supporting high-producing real estate agents or working in a fast-paced, high-demand real estate environment.
• Strong knowledge of Arizona contracts, compliance requirements, and transaction timelines.
• Ability to manage multiple complex transactions at once while maintaining exceptional attention to detail.
• Outstanding communication skills, with a professional and confident approach to handling all parties in a transaction.
• Strong ability to stay calm under pressure, meet tight deadlines, and work with a sense of urgency.
• Proficiency in real estate CRM systems and transaction management platforms.
• Highly responsive, reliable, and committed to delivering an elevated level of service.
Preferred • Experience managing 25+ real estate transactions per month in a high-volume setting.
• Familiarity with Open to Close transaction management software.
• Familiarity with Follow Up Boss customer relationship management software.
