Description
The Student Employment Onboarding Specialist plays a critical role in supporting the operations of the Human Resources department by managing and facilitating the undergraduate and graduate student employment process. Under moderate supervision and with the opportunity to exercise independent judgment, this position ensures a smooth and efficient onboarding experience for student employees. Key responsibilities include coordinating hiring procedures, verifying employment documentation, maintaining compliance with institutional policies and regulations, and serving as the primary point of contact for student employment inquiries. The Specialist works closely with hiring managers, department supervisors, and students to streamline processes and enhance the overall student employment experience. This temporary position will cover maternity leave for 5 months.
Examples of Duties
- Responsible for all onboarding activities involving student employment (i.e., Federal Work Study, Student Work Fund and Graduate Assistantship):
- Accept and assist student employees with completion of new and re-hire paperwork. Process student I-9 forms.
- Serve as liaison with Payroll regarding student employees.
- Disseminate information and respond to inquiries from students, supervisors, and other on-campus departments participating in the student employment process.
- Research problems/issues that arise and contact and assist supervisors, referring them to appropriate department(s) when necessary.
- Scan students' documents into Docuware and retrieve when necessary.
- Complete employment verifications and wage garnishments for student employees.
- Conduct background checks using HireRight.
- Complete unemployment requests using Casebuilder.
- Utilize new onboarding process for International Students:
- Update all hire forms in student's file when actual SSN is received.
- Send the updates to connected departments (Payroll & Registrar's Office).
- Implement new electronic student onboarding system:
- Create and modify tutorials for students and supervisors.
- Troubleshoot various issues with the updates and processes.
- Help new supervisors one-on-one if they need assistance with the student hiring process.
- Update and maintain various HR logs (vouchers, PAF's, etc.), records and files, including some data entry into HRIS (Colleague).
- As needed, assist in various HR projects including open enrollment, benefits administration, new hire orientation, HR technology, salary administration, etc.
- As needed, provide backup reception, general office and administrative support to the HR department, including answering phones and greeting visitors, maintaining files, etc.
- Perform all other related duties as required.

- Troubleshoot various issues with the updates and processes.
- Help new supervisors one-on-one if they need assistance with the student hiring process.
Qualifications
Education: - A.A. or equivalent degree required; B.A. degree preferred.
Experience: - At least 2 years' relevant experience, preferably in a higher education environment.
Skills: - Should have knowledge of basic human resources principles. Excellent computer skills, including: proficiency in MS Office suite of applications; and facility with web and intranet usage as well as scanning software.
Other: - Excellent organizational skills and demonstrated attention to detail required.
- Superior interpersonal skills and the ability to communicate effectively, verbally and in writing, with a diverse population of students and staff. Must demonstrate intercultural competence as well as an understanding of confidentiality.
