**Position Overview:**
As a Reservations Agent, you will perform a variety of duties related to property reservations. You will respond to communications from guests, travel agents, and referral networks regarding reservations, create and maintain reservation records, and promptly process any cancellations and modifications.
**Essential Functions:**
The following duties are illustrative and not an exhaustive list of all responsibilities:
- Interact with customers, travel agents, and wholesalers via phone, email, or chat to handle reservation inquiries and assist in booking reservations based on their preferences and needs.
- Maintain departmental goals, including conversion rates, revenue, and productivity.
- Process reservations through email, telephone, fax, or central reservation systems.
- Maintain reservation records, prepare and distribute confirmation notifications, and process advance deposits.
- Provide availability, pricing information, and booking instructions to wholesalers and travel partners.
- Complete daily checklists, including pre-arrival calls, running trace reports, arrival audits, and managing email inboxes in a timely and professional manner.
- Demonstrate thorough knowledge of hotel layouts, room types, services, and hours of operation.
- Be proficient in the PMS reservation system and brand booking engine, including data entry, cancellations, and data management.
- Maintain awareness of selling status, rates, and benefits of all package plans; communicate policies on guaranteed reservations and no-shows.
- Communicate reservation information to the front desk and provide support, including training on reservations-related tasks.
- Track future room availability based on reservations.
- Maintain accurate records and files related to your assignments.
- Contribute to the efficiency and effectiveness of the unit's service by offering suggestions and participating as an active team member.
- Demonstrate courteous and cooperative behavior when interacting with the public and staff, promoting a harmonious workplace environment.
- Participate in department and company meetings and functions.
**Position Requirements:**
- High School Diploma or GED; AND one (1) year of resort operations support experience; OR an equivalent combination of education, training, and experience.
- Proficiency in Office 360 and the ability to type at least 50 words per minute without errors.
**Working Conditions - Physical/Mental Requirements:**
- Ability to work in a fast-paced, deadline-driven environment.
- Mobility to work in an office setting and use standard office equipment.
- Stamina to sit for extended periods.
- Strength to lift and carry up to 20 pounds.
- Vision to read printed materials and computer screens, with dexterity to utilize computer equipment.
- Hearing and clear speech to communicate in person or over the telephone.
- Ability to work in various weather conditions, including high temperatures and humidity.
- Flexible schedule: days and times may vary based on need; this is not a remote position.
