Are you a highly organized, tenacious, and detail-oriented professional with a passion for creating seamless administrative processes? New Leaf Behavioral Health, a non-profit mental health organization in Raleigh, North Carolina, is seeking a Practice Manager to lead our administrative team and ensure the highest level of operational excellence.

This is a full-time, salaried, on-site position, offering a unique opportunity to make a significant impact on our ability to provide exceptional patient care.

About the Role:
As our Practice Manager, you will be at the forefront of ensuring our administrative functions run with precision and accuracy. You'll be a vital leader, working closely with our administrative team to prioritize key tasks and uphold our commitment to quality.

Your responsibilities will encompass a blend of patient-facing and back-end administrative duties, including:

Patient Care Administration:

  • Overseeing client check-ins and ensuring a welcoming and efficient arrival process.
  • Guiding the team in accurate scheduling and rescheduling of appointments.
  • Monitoring and reconciling client balances within our system.
  • Ensuring strict adherence to all established policies and procedures related to patient care.
  • Managing patient intake processes, including verification of demographics and insurance information.
  • Coordinating and maintaining patient records, ensuring confidentiality and compliance with HIPAA regulations.
  • Facilitating communication between patients and clinical staff regarding administrative matters.
  • Addressing patient inquiries and resolving administrative issues with a high level of customer service.
  • Overseeing the management of waiting lists and patient flow to optimize provider schedules.

Back-End Operations:

  • Developing a deep understanding of insurance billing processes and ensuring accurate claim submission.
  • Optimizing client setup within our systems to ensure smooth downstream operations and data integrity.
  • Collaborating to develop and refine written instructions and policies for all administrative functions.
  • Managing credentialing and re-credentialing processes for clinical staff with insurance panels.
  • Revenue Cycle Management - monitoring and reconciling insurance payments, denials, and appeals.
  • Maintaining accurate and up-to-date provider information in all relevant systems.
  • Assisting with the use and optimization of electronic health record (EHR) systems.
  • Generating and analyzing administrative reports to identify trends and areas for improvement (e.g., no-show rates, billing cycles).
  • Ensuring compliance with all relevant regulatory requirements (e.g., state licensing, HIPAA, OIG).
  • Managing office supplies and equipment, ensuring the practice has the necessary resources to operate efficiently.

Who You Are:

We are looking for more than just an administrator; we're seeking a dedicated individual who embodies the following core characteristics:

  • A Champion of Order: You are driven by a strong desire to create and maintain an orderly and highly functional practice. You believe in the power of clear policies, well-documented procedures, and precise written instructions for every task.
  • Relentlessly Tenacious: You possess an unwavering commitment to getting things right , not just "good enough." You're willing to put in the hard work and persevere through challenges, especially during periods of change, to achieve a high degree of quality and accuracy in all administrative functions.
  • Process-Oriented Leader: You have a natural ability to balance the intricacies of administrative systems with the needs of the individuals who work within them. You are adept at identifying inefficiencies and proactively implementing solutions.
  • Dedicated and Detailed: You have a keen eye for detail and a meticulous approach to your work. You take pride in ensuring that every task is completed accurately and to the highest standard.
  • Collaborative Team Player: While you are a leader, you also understand the importance of working effectively with your team to achieve shared goals.

If you are a proactive and dedicated professional who thrives in a structured environment and is committed to making a tangible difference in a non-profit setting, we encourage you to apply!
