Description We are looking for a detail-oriented Office Assistant to join our team on a contract basis in San Jose, California. This role involves a variety of administrative and clerical tasks that support the daily operations of the office. The ideal candidate will possess strong organizational skills and a proactive approach to handling responsibilities effectively. Responsibilities: - Maintain inventory levels and coordinate the ordering of office supplies to ensure smooth operations. - Accurately format, proofread, finalize, and distribute official documents in compliance with established quality standards. - Verify the accuracy and completeness of work, ensuring minimal errors and redundancies. - Monitor and prioritize workflow, updating departmental metrics and production data as needed. - Adhere to organizational policies related to confidentiality, quality standards, risk mitigation, and data privacy. - Provide general administrative support, including office management, partner assistance, and practice-related tasks. - Assist remotely or travel to offsite locations, client offices, or shipping centers as required. - Perform daily cleaning and restocking of kitchen areas to maintain a tidy environment. - Scan documents for extended periods and lift boxes weighing up to 25 pounds as part of office operations. - Cover reception duties as needed, including answering inbound calls and greeting visitors. Requirements - Proven experience in receptionist and administrative roles. - Proficiency in scanning documents and managing clerical tasks. - Ability to handle inbound calls professionally and efficiently. - Strong attention to detail and organizational skills. - Capacity to work independently and manage multiple priorities. - Physical ability to stand for extended periods and lift up to 25 pounds. - Familiarity with confidentiality and risk mitigation practices. - Excellent communication skills and a proactive attitude.
